This Cookie Policy explains how the KEEPMOMENTS store at keepmoments.eu uses cookies and similar technologies, why we use them, and how you can control them at any time. We have written it to be clear and complete, so that you can make informed choices about the data collected through your visit. It applies only to this store and to the technologies described below.
1. Who we are
The party responsible for the data processed through cookies and similar technologies on keepmoments.eu (the data controller) is:
KEEP MOMENTS LTD, a private company limited by shares, incorporated in England and Wales, Companies House registration number 11909402.
- Registered office: 167-169 Great Portland Street, 5th Floor, London, W1W 5PF, United Kingdom
- EU operational and contact address: Wapienna 4A/2, 71-790 Szczecin, Poland
- E-mail: [email protected]
- Phone: +48 731 850 700
KEEP MOMENTS LTD maintains a stable operational establishment in the European Union at the Szczecin address above (where orders are fulfilled, consigned material is handled, and dispatch and returns are managed). For data subjects in the EU and EEA, this Szczecin establishment is our EU/EEA contact point for matters relating to the data processed through cookies. If you have any questions about this policy or about how we use cookies, please write to us at [email protected].
2. What cookies and similar technologies are
Cookies are small text files placed on your device when you visit our store. We also use similar technologies - software development kits (SDKs), pixels and tags, local storage, and server-side event interfaces - that can store or read information on or from your device, or that work together with cookies to recognise your browser. Where this policy refers to "cookies", it means cookies and these similar technologies together.
A few distinctions are useful to understand the table further below:
- First-party technologies are set by keepmoments.eu itself. Third-party technologies are set by another provider (for example Google, Meta, TikTok or Microsoft) whose service we use.
- Session cookies last only until you close your browser. Persistent cookies remain on your device for a defined period, or until you delete them, so that your browser can be recognised on a later visit.
- Server-side event interfaces do not store information on your device; instead, they send measurement data from our server directly to a provider's server. We disclose them here for completeness, because they serve the same advertising and measurement purposes as the pixels they accompany and are subject to the same consent.
3. How we ask for your consent
When you first visit keepmoments.eu (and until you make a choice), we show you our own consent banner. Until you choose, non-essential cookies and technologies are blocked: by default, consent is set to "denied" through Google Consent Mode v2, so analytics and marketing tags do not run.
Through the banner you can decide per category - necessary, analytics and marketing - whether to allow the technologies in that category. Rejecting is as easy as accepting: a clearly visible "Reject all" option sits alongside "Accept all", and you are never required to consent in order to browse the store. Strictly necessary technologies do not require your consent and are always active, because the store cannot function without them.
The legal basis for setting non-essential cookies and for the related processing is your consent, given under Article 6(1)(a) of the General Data Protection Regulation (GDPR) and the applicable national rules implementing the ePrivacy Directive (2002/58/EC) on the storing of and access to information on your terminal equipment. Your choice is logged as proof of consent and remembered, so that we honour it on your return visits.
4. The three cookie categories
We group the technologies we use into exactly three categories:
- Strictly necessary - always on. These are required for the store to function: maintaining your session, securing the site, distributing traffic, and remembering the consent choice you have made. They do not require your consent.
- Analytics - only with your consent. These help us understand how the store is used, so that we can improve it.
- Marketing - only with your consent. These are used to measure and improve our advertising and to show you relevant ads.
Every technology we use belongs to one, and only one, of these three categories, as set out in the table below.
5. The technologies we use
The following table lists exactly the cookies and similar technologies that may run on keepmoments.eu, grouped by category, with their provider, purpose, type, and a representative lifetime or retention period.
Strictly necessary (always on)
| Name / tool | Provider | Purpose | Type | Representative lifetime |
|---|---|---|---|---|
| Session cookie | KEEPMOMENTS (first-party) | Maintain your session, cart and basic store function | First-party, browser | Session (deleted when the browser closes) |
| Consent cookie | KEEPMOMENTS / consent banner (first-party) | Store your cookie consent choices so we can honour them | First-party, browser | 6-12 months |
| Security / load-balancing cookie | KEEPMOMENTS / Cloudflare | Security, fraud prevention and even distribution of traffic | First-party, browser | Session to ~12 months |
Analytics (consent required)
| Name / tool | Provider | Purpose | Type | Representative lifetime |
|---|---|---|---|---|
| Google Analytics 4 (GA4) | Measure store usage, traffic and performance to improve the store | Third-party, browser | _ga 2 years; _ga_<container> 2 years; _gid 24 hours |
|
| Google Tag Manager (GTM) | Manage and deploy our analytics and marketing tags; GTM itself sets no tracking cookie but loads the tags listed here | Third-party, tag manager | n/a (no own tracking cookie); controls loading only, gated by consent | |
| Microsoft Clarity | Microsoft | Session recording and heatmaps, to understand how visitors use the store and improve usability | Third-party, browser | _clck 1 year; _clsk 1 day |
About Microsoft Clarity. Clarity records how visitors interact with the store (movements, clicks and scrolling) and aggregates this into heatmaps and session replays so that we can improve usability. It runs only with your consent. It is configured with masking of sensitive fields: the content you type into form fields, your personal data, any engraving text, and anything you upload are masked, so that the sensitive information you enter about a loved one is not captured. We have set this masking deliberately, because of the personal nature of what our customers share with us.
Marketing (consent required)
| Name / tool | Provider | Purpose | Type | Representative lifetime |
|---|---|---|---|---|
| Meta Pixel + Conversions API (CAPI) | Meta (Facebook / Instagram) | Measure ad performance, attribute conversions and build audiences for our advertising | Third-party, browser + server-side; identifying data is hashed; consent-gated | _fbp 3 months; server-side events retained per Meta's policies |
| TikTok Pixel + Events API | TikTok | Measure ad performance, attribute conversions and optimise our TikTok advertising | Third-party, browser + server-side; identifying data is hashed; consent-gated | _ttp ~13 months; server-side events retained per TikTok's policies |
| Google Ads (remarketing + conversion tag) | Measure ad conversions and show you relevant ads (remarketing) | Third-party, browser | Conversion and remarketing cookies typically up to 90 days (some Google advertising cookies up to ~2 years) |
6. Server-side events are still consent-gated
Some conversion measurement also happens server-to-server, through the Meta Conversions API and the TikTok Events API. This server-side measurement runs only when you have given marketing consent, and identifying data (such as your e-mail address or device identifiers) is hashed before it is sent. If you withdraw marketing consent, both browser-side and server-side measurement stop for future activity. Server-side events are subject to exactly the same consent as the pixels they accompany; nothing is sent behind the scenes outside your choice.
7. Login with Google or Facebook
Our store lets you log in or register using your Google or Facebook account. If you choose to do this, we receive your e-mail address, your name and an account identifier, which we use to create your account or match it to an existing one. This sign-in is also governed by Google's and Meta's own privacy terms, in addition to ours. This feature is not itself a cookie, but we mention it here for transparency; you can read more about it, and about what we do with the data, in our Privacy Policy.
8. How to change or withdraw your consent
You can change or withdraw your consent at any time using the cookie-settings link in the footer of every page. Reopening the settings lets you turn categories on or off and confirm your new choice. Rejecting non-essential technologies is as straightforward as accepting them.
As a secondary route, you can also manage or delete cookies through your browser settings; most browsers let you block or remove cookies, though this may affect how the store works.
When you withdraw consent, we stop the related processing going forward. Information already collected before you withdrew is handled as set out in our Privacy Policy.
9. Consent records
We log your consent choices - the date and time you made them, the categories you allowed or rejected, and the version of this policy in force at the time - so that we can demonstrate that consent was given and honour your choice on return visits. These records are kept as evidence of consent and are not used to track you.
10. More information, your rights and contact
This Cookie Policy covers cookies and similar technologies only. For the full picture - the recipients of your data, international transfers, retention periods, and all of your rights as a data subject - please read our Privacy Policy.
For any question about cookies or about how we process your data, you can contact us at [email protected]. If you are in the EU or EEA, you also have the right to lodge a complaint with the supervisory authority in your Member State of residence.
11. Changes to this Cookie Policy
We may update this Cookie Policy from time to time, for example when we add or remove a technology or when the law changes. The current version is always identified by the "Last updated" date shown at the top and at the bottom of this page. We encourage you to review it occasionally.
