2. What cookies and similar technologies are

Cookies are small text files placed on your device when you visit our store. They allow the store to remember your actions and preferences over time, so that you do not have to re-enter them whenever you return or move from page to page.

We also use other technologies that work in a similar way - software development kits (SDKs), pixels and tags, local storage, and server-side event interfaces. These can store or read information on or from your device, or work together with cookies to recognise your browser. Throughout this policy, when we refer to "cookies" we mean cookies and these similar technologies together, unless we say otherwise.

A few terms it helps to know:

  • First-party technologies are set by us (keepmoments.uk). Third-party technologies are set by another organisation whose service we use, such as Google, Meta, TikTok or Microsoft.
  • Session cookies last only for your current visit and are deleted when you close your browser. Persistent cookies remain on your device for a defined period or until you delete them.

Some measurement also happens server-side - that is, directly between our systems and an advertising provider's systems - rather than only in your browser. We explain this in section 7, because it is treated the same way as a cookie: it runs only when you have given the relevant consent.

3. How we ask for your consent

When you first visit keepmoments.uk, we show you our own consent banner before any non-essential technologies are used. Until you make a choice, all non-essential cookies and similar technologies are blocked. We do this using Google Consent Mode v2, which keeps consent set to "denied" for analytics and marketing by default, so that nothing in those categories runs without your agreement.

You can decide for each category separately (strictly necessary, analytics, marketing). Rejecting non-essential technologies is as easy as accepting them: the banner shows a clearly visible "Reject all" option alongside "Accept all". Strictly necessary technologies do not require your consent and are always active, because the store cannot function without them.

We record your choice as proof of your consent and remember it, so that we honour it on your return visits and do not ask you again unnecessarily.

In the United Kingdom, our use of non-essential cookies and similar technologies is based on your consent, in line with the Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR) and the UK GDPR (the retained General Data Protection Regulation as it applies in the UK) together with the Data Protection Act 2018.

4. The three cookie categories

We group cookies and similar technologies into exactly three categories:

  1. Strictly necessary - always on. These are required for the store to function, for example to maintain your session, keep your basket, support security and load balancing, and remember the consent choice you have made. They do not require your consent.

A note on Microsoft Clarity. Clarity records how visitors interact with our pages and produces heatmaps. It runs only with your consent. It is configured with masking of sensitive fields, so that information you enter - including form fields, personal details, any engraving or inscription text, and content you upload - is not captured in the recording. We use this tool to understand and improve how the store works, never to read the personal contents you share with us about a person, a pet or a memory.

6. Server-side events are still consent-based

Some conversion measurement also happens server-to-server (Meta Conversions API and TikTok Events API), rather than only in your browser. This server-side measurement runs only when you have given marketing consent, and identifying data - such as an e-mail address or a device identifier - is hashed before it is sent, so that it is not transmitted in a directly readable form. If you withdraw marketing consent, both browser-side and server-side measurement stop for future activity.

7. Signing in with Google or Facebook

Our store lets you log in or register using your Google or Facebook account. If you choose this option, we receive your e-mail address, your name and an account identifier, which we use to create or match your customer account. This sign-in process is also governed by Google's and Meta's own privacy terms, in addition to ours. Social sign-in is not itself a cookie, but we mention it here for transparency; for more detail please see our Privacy Policy.

8. How to change or withdraw your consent

You can change or withdraw your consent at any time using the cookie-settings link in the footer of every page. Opening it lets you reopen the banner, review your choices and adjust them. Rejecting non-essential technologies is as straightforward as accepting them.

You can also manage cookies through your browser settings, where most browsers let you block or delete cookies. This is a secondary route, and blocking strictly necessary cookies may stop parts of the store from working.

When you withdraw consent, we stop the related processing going forward, on both the browser side and the server side. Information already collected is handled as set out in our Privacy Policy.

9. Records of your consent

We log your consent choices - the date and time, the categories you selected, and the version of this policy in force at the time - so that we can demonstrate that consent was given and honour your choice on return visits. These records are kept as proof of consent and are handled in line with our Privacy Policy.
